Collaborative Ordering (Beta)

Collaborative Ordering is in beta and available to teams already using the new seller ordering page. Reach out to your Account Manager or Support to request access.

What it is

Collaborative Ordering turns an order you have already built into a live, shareable menu. You send your buyer a link. They open it without logging in and adjust the order against your real inventory. Their changes come back into the same order, on the same screen you are already working in.

It replaces the static spreadsheet menu, the email thread about what is still in stock, and the retyping at the end.

Why it matters

Live inventory, not a snapshot

Your buyer is ordering against what is actually available right now. Every line carries the batch number, package type, potency, and expiration date, so there is no back and forth about what is still in stock or what is about to age out.

No login, no storefront

Your buyer opens the link, enters their email address and the (optional) access code you sent, and starts working. No Leaf Trade account, no password, and no walking them through your storefront first.

Bespoke pricing carries through

The shared menu reflects the buyer specific pricing and quantity rules you already have configured, and price overrides stay yours to set.

Mobile Optimized

Reps and buyers can review and adjust an order from the car or the sales floor, not just from a desk.

How it works

The whole flow happens on the Edit Quantities and Pricing screen of an order you have already started.

1. Build the order as you normally would

Create the order for your customer, then open Product List and go to Edit Quantities and Pricing. Before you start collaborating, the page looks like any other order you are working on.

Before you start: the Collaborate button sits alongside your usual order actions.

2. Select Collaborate

Leaf Trade generates a Shareable Link for the order and an Access Code to go with it. The button changes to Stop Collaborating, so you can always tell at a glance when an order is open for your buyer.

Once collaboration is on, the Shareable Link and Access Code appear in the header.

3. Send the link and the access code

Use the copy control next to the link and send it however you already talk to your customer: email, text, or chat. Send the access code along with it, because your buyer will be asked for both. There is nothing for them to install and no account to set up.

4. Your buyer opens the link

The link opens to a single screen asking for their email address and the (optional) access code from your invitation. The email address is what associates their changes with their identity. No password and no login required.

Everything your buyer has to do before they reach the order.

5. Your buyer reviews and adjusts the order

They see the menu you built for them and can change quantities, add cases, or remove lines they do not want. The running quantity and subtotal update as they go, so you are both looking at the same number.

The buyer view lists each line with its category, product name, brand, available quantity, package type, unit price, case price, and line subtotal, with the running quantity, units, and subtotal along the bottom. Case Price reflects the original case price before any discounts or rules are applied. Buyers can search and filter to find what they’re looking for.

6. Finish the order on your side

Selecting Stop Collaborating closes the live collaboration view on your end. When the order is right, choose Proceed with Order and it moves forward exactly as any other order would.

TIP

The order is always yours to finish. Your buyer's changes update the order in place, but nothing moves forward until you select Proceed with Order.
